 1. Corporate Programme System
  • This system ensures each client is in receipt of an annual timetable, which sets out the dates on which all critical corporate activities will be undertaken during each financial year
  • This timetable is reliable and ensures each client management company operates in compliance with Company Law, for example;
    • Draft budgets are prepared and circulated for review and approval by the client in advance of the financial year
    • The service charge billings, collections and debt collections are undertaken on time, to maximise efficiencies and ensure cashflow is maintained
    • Client company returns are filed annually with the CRO in compliance with Company Law
    • The Corporate Programme recommences for each and every subsequent year

2. Client Reporting Systems 
  • Client Reporting Systems ensure Comprehensive Management Reports and Financial Reports are prepared and circulated quarterly
  • Management Reports provide updates on all administration, maintenance and service contract work
  • Financial Reports include income and expenditure accounts against budget, balance sheet, accrual and prepayment schedules, debtors listing and bank reconciliations.  In other words, everything you could possibly need to be satisfied that your financials are in safe hands
  • This client reporting system ensures clients are well informed and well enabled to direct all business areas comprehensively and with the best resources at their disposal, confident in the knowledge that they have a clear insight into their finances

  • The firm operates with "QUBE Property Management Software System" the leading UK PM/FM  Financial Management System 
  • QUBE provides exceptional control, analysis and full audit trail of our clients' income, expenditure, and bank funds
  • QUBE facilitates reporting that gives our clients the comfort and peace of mind that their monies are collected, secure, and properly managed in accordance with best practice and accounting standards
  • QUBE enables our accounting team to liaise with the property manager, ensuring control and adequate information is at hand at all times

4. Building Management Systems
  • Our firm's investment in information technology includes the design and development of a highly effective and integrated Building Management System (BMS)
  • This software keeps precise digital records of all our clients' building service activities, documents, and correspondence
  • It operates as a behind-the-scenes assistant, compiling work schedules, organising information and printing service reports
  • Action logs and site activity records are our Property Managers' invaluable day to day tool, serving to ensure maintenance records and building history are accessible and retrievable at all times

5. Building Inspection Systems
  • Regular documented site visits and inspections are undertaken.  These are designed to ensure our Property Managers are on hand, aware of, and can confirm contractor services are delivered as contracted
  • Seeing things and addressing them before they are reported is part of our proactive approach which is an integral part of our firms service 
  • The usual frequency of these documented and recorded visits is monthly and all observations and defects found are recorded and logged onto O'Dwyer Property Management's Building Management System (BMS) within 24 hours for action and immediate attendance.

6. Planned Preventative Maintenance Systems
  • Planned Preventative Maintenance programmes operate on each client site which ensures, in advance, that all service requirements are identified and contracted. 
  • Our PPMS ensures the services are:
    • fairly priced, with adequate funding
    • within budget to provide the services
    • delivered to the highest standards of quality and professionalism, agreed with the contractor, through the maintenance of contractor supervision during the performance of works
  • Our proactive planned preventative maintenance system ensures consistency of service standards and saves money in the longer term.
