Every day ODPM procures (buys) similar maintenance services on behalf of our clients.
ODPM operate a Centralised Maintenance Procurement Method which ensures the value of our collective buying power is benefited by all clients

Centralised Maintenance Method and Procurement

ODPM creates a systems (asset) register for each of our client sites. This register identifies all plant and elements that require maintenance.
ODPM record all essential information on these assets in the register including maintenance requirements and the condition ratings for life expectancy and reliability.
Contracts are then prescribed for all the statutory items – fire systems, extinguishers, AOV’s, lifts etc.
Contracts are also prescribed for non-statutory items – cleaning, grounds maintenance, refuse collection, etc.
Invitations to tender are then drawn up setting out the service levels, procedures, supervisions and potential grievances in advance.
Contractors are selected from ODPM’s approved service contractor database and then, following the tender process, which includes consultation with our clients, terms of engagement are agreed
service contracts are drawn up and held uniformly under the clients name in our offices.
The scheduled Service visits are recorded in our Building Management System (BMS)
The property managers then manage maintenance contracts in conjunction with BMS and their site inspection audits.
All contractors and contacts are managed uniformly, efficiently and effectively by ODPM management.
