How our procurement system works for you
We operate a uniform approach to buying and managing services for your development which guarantees value and reliability. This is how it works:
- We create a systems register (an asset register) for each of our client sites. In this register we identify and record all the plant/systems that require maintenance, e.g. lifts, pumps etc.
- All essential information on these assets is recorded in the register including maintenance requirements and the condition ratings for life expectancy and reliability
- Specifications for the maintenance of all the life saving and plant systems is detailed
- Specifications are also drafted for non-statutory services; cleaning, grounds maintenance, refuse collection, etc.
- Invitations to tender are then drawn up setting out the service levels in advance for procedures, supervisions and potential grievances.
- Contractors are selected from an approved service contractor database and then, following the tender process, which includes consultation with our clients, terms of engagement are agreed
- Service contracts are drawn up and held uniformly under the client's name in our offices
- The scheduled Service visits are recorded in our in-house Building Management System (BMS)
- The Property Managers then manage all client maintenance contracts in conjunction with BMS and their site inspection audits
