The programme completes when we file your returns with the Companies Registration Office (CRO) in compliance with Company Law.

ODPM’S investment in information technology includes the design and development of a highly effective and integrated Building Management System. This software keeps precise digital records of all our clients building service activities, documents, and correspondences, and serves as a behind-the-scenes assistant, compiling work schedules, organizing information and printing out service reports. Whilst this is our property manager’s invaluable day-to-day tool it also serves to ensure maintenance records and building history are accessible.

#8   ODPM PLANS LONG TERM AND FOR YOUR BUILDINGS FUTURE

ODPM’s technical and financial expertise ensures you understand the essential need for a “Building Investment Fund” (sinking fund). It is best practise to ensure that future refurbishment, upgrades and replacements of major assets (lifts etc) are identified and the directors of the management company determine an appropriate estimate and set an annual provision aside. This ensures that significant future capital works can be carried out in a planned manner, without substantial increases or one-off levies. ODPM’s method ensures the sustainability of capital values in the long term.


#9   ODPM ARE COURTEOUS EFFICENT AND PROMPT

ODPM’s customer care teams approach combines prompt courteous enquiry servicing with attention to detail by qualified staff members who strive to provide the highest level of customer service. We operate Monday to Friday from 9.00am to 5.00pm and after hours, our call centre is expert in handling emergencies, first line maintenance and breakdowns thus minimising client inconvenience delays and expensive call out fees.
All calls are answered promptly. In fact, 80% are answered within 5 seconds and the remaining within 45 seconds. We log and track each call with a unique log number on our Building Management System (BMS) until they are resolved and closed.
We acknowledge e-mails; letters, faxes and webs based enquiries within 3 working days and guarantee a reply within 7 working days.

ODPM is an accredited corporate member of the Irish Property and Facility Management Association (IPFMA) and the Irish Auctioneers and Valuers Institute (IAVI), which are self-regulatory bodies for the property profession. Both have stringent entry and practice standards for the protection of the public, as well as the profession. Strict membership criteria ensure the individuals practice to the highest standard and are bound by the respective code of Conduct as a condition of membership.

#15   ODPM HAVE A ROBUST SERVICE CHARGE COLLECTION PROCESS


ODPM operates a robust service charge collection process which ensures tight credit control and guarantees cash flow is monitored and funds are available for our sites.
We are critically aware that without the timely collection of service charges appropriate and essential services cannot be delivered to our developments.
ODPM has adopted a standard Code of practice in relation to Service Charge Costs which means we use the same methodology common activity codes and description names in all our developments. This use of standard codes will provide our clients with improved transparency to facilitate benchmarking and the comparing of costs between different buildings.

Our investment in the state of the art in-house Building Management Systems and the internationally recognised leading Property and Accounting system “QUBE” in 2008 are a testament to our innovation and commitment to client services.
ODPM in 2002 was the first Multi Unit Management Firm to hire an in-house training manager (over 5 years ago) who provides expert specialised training to our property management teams. Our compulsory initial in-house training consists of a one year modular programme of training which ensures our property managers deliver a knowledgeable and comprehensive service to our clients.
ODPM in 2007 was also the first Multi Unit Management firm to hire an in house Engineering/Facilities expert
